Context

Task Tracker is a productivity and task-management application prototype designed to streamline daily goal setting and personal organization. While drawing foundational inspiration from intuitive, everyday tools like Apple Notes, Task Tracker addresses critical gaps in current market offerings by introducing flexible organization features, smart prioritization cues, and actionable progress tracking that power users frequently request.

Scope

As the UX/UI Designer, I managed the end-to-end design lifecycle from early concepting through visual polish. I began by sketching low-fidelity wireframes to establish clean navigation architecture and intuitive task-creation flows. Moving into high-fidelity prototyping, I validated my design decisions through targeted usability testing sessions. Leveraging direct participant feedback, I systematically identified usability bottlenecks and refined the visual hierarchy, component states, and interaction mechanics for the final prototype deliverable.

From Organization to Overwhelm: How Bad UI Drives Task Paralysis

While task management tools are intended to reduce cognitive stress, mainstream applications like TickTick and Todoist often induce overwhelm by prioritizing aggressive feature expansion and monetization over core usability:

  • Cognitive Overload & Overcrowded Interfaces:

    Rapid feature accumulation has led to cluttered dashboards, dense multi-tier menus, and visual noise. Instead of helping users focus on daily priorities, the overcrowded UI increases friction and delays task entry.

  • Monetization Roadblocks & Broken User Flows:

    Essential productivity tools such as sub-task organization, custom reminders, or tag filtering are frequently locked behind intrusive paywalls. Encountering hard paywalls mid-workflow breaks user focus, frustrates long-term adopters, and causes high churn.

  • Performance Latency & Unresponsive Mechanics:

    Heavy UI architecture often results in input lag, slow syncing, and buggy transitions. In a productivity context where quick interactions are vital, sluggish performance undermines user trust and disrupts daily planning habits.

These core issues degrade the user experience, transforming what should be a frictionless organization tool into a source of daily user fatigue.

It feels like TickTick is trying to be everything at once—a calendar, habit tracker, pomodoro timer, task manager, and note-taking app. The sidebar and task views have become so cluttered with icons and settings that entering a simple to-do item takes way more cognitive effort than it should

To validate my initial concepts, I translated low-fidelity wireframes into an interactive high-fidelity prototype guided by competitive research. I then conducted usability testing sessions to observe real users navigating core task-creation and tracking workflows.

  • Usability Testing & Feedback Synthesis:

    While participants successfully completed core task flows, qualitative observations revealed critical component-level usability flaws. Users experienced friction with navigation alignment, inconsistent element sizing across screens, and missed tap targets during rapid interactions.

  • Targeted UI Polishing & Interactive Refinement:

    I systematically addressed these design inconsistencies in a dedicated refinement pass:

    • Navigation Alignment: Re-aligned the primary navigation bar using a strict layout grid to establish predictable spatial anchoring.

    • Element Consistency: Standardized button dimensions, typography scales, and component padding into a cohesive UI kit to eliminate visual clutter.

    • Touch Target Optimization: Expanded interactive hit areas to meet standard touch guidelines, ensuring effortless, error-free tap activation

Solution

  • Decluttered, Focused Dashboard:

    I kept the interface deliberately simple to eliminate the visual noise and feature bloat common in other productivity tools. By focusing on generous white space, clean typography, and essential actions, the layout lets users drop in, check off tasks, and get out without feeling overwhelmed by unnecessary menus or intrusive upsells.

  • Customizable Tagging & Filtering System:

    Rather than forcing rigid category setups, Task Tracker gives users flexible filtering controls so they can organize work, personal, and project tasks around their own routines. High-priority filters allow users to isolate specific task lists with a single tap, reducing cognitive load and helping them focus purely on what matters in the moment.

Reflection

Building Task Tracker reinforced that strong user retention starts with getting core interactions right before adding complexity. Prioritizing essential features—like responsive touch targets, smooth button feedback, and a decluttered layout—drastically reduced user friction and eye strain during daily planning. This project taught me that keeping the core flow effortlessly fast builds far more long-term value and user trust than launching with a bloated feature set.

Future Scope & Next Steps

Given more time to iterate on the prototype, my immediate focus would be expanding user personalization and validating deep workflows:

  • Advanced Filter & Tag Customization:

    Building out multi-parameter filter rules (e.g., nesting tags by priority level, due date, and custom project colors) so users can tailor their dashboards to complex daily routines.

  • Expanded Micro-Interactions & Feedback:

    Refining subtle visual and haptic feedback across state changes—such as task completion animations and drag-and-drop reordering—to make daily interactions feel even more crisp and satisfying.

  • Long-Term Usability Testing:

    Running a second round of evaluative testing over a multi-day period to measure long-term task completion rates and observe how users adapt custom filters to their real-world habits.
